Front Desk/Patient Coordinators (Hiring for Somerset, Wall, and Morganville Locations)

University Orthopaedic Associates (UOA) – A Division of OrthoNJ, is a leading private practice providing a full spectrum of orthopaedic care.  Our board-certified, subspecialty-trained surgeons lead the field in everything from Sports Medicine and Joint Replacement to Spine and Trauma surgery.

We are looking for a dedicated Full-Time Front Desk/Patient Coordinator to join our team across our Somerset, Morganville, and Wall locations. 

As a key face of our practice, you will serve as a vital link between our patients, their families, and our healthcare providers. This highly visible role requires a professional who excels at multitasking and possesses exceptional communication and interpersonal skills. While not required, being bilingual is a significant plus.  

Qualified Candidates:

  • High School Diploma or equivalent
  • A minimum of (2) years of previous experience in a hospital or physician office setting
  • Knowledge of managed care referral/ pre-certification procedures
  • Medical, orthopedic terminology a plus
  • Experience working with confidential patient records and EMR systems

Responsibilities:

  • Greeting patients upon their arrival. Guide new patients (NP) through the registration process, ensuring all new patient packets are completed in their entirety, signed and initialed where required, and that copies of insurance cards and picture ID’s are scanned correctly in the EMR. Review all insurance and demographic information with returning patients and enter all changes in system. Yearly renewal of HIPAA and abbreviated intake sheet is required of all patients.
  • Posting charges, collecting co-pays, close and reconcile at the close of each day
  • Schedule appointments based on company policies and procedures. Candidate will be required to proofread and maintain accuracy at all levels of the appointment process

  • Verify patient’s Insurance benefit, eligibility and referral process
  • Scanning documents into patient chart through Phoenix EMR
  • Faxing documents as needed
  • Accessing documents from several hospital systems

OrthoNJ, LLC is required by New Jersey law to disclose the compensation range for this position. The hiring range for this role is $16.00 – $24.00 per hour. Compensation is determined based on several factors, including but not limited to the candidate’s qualifications, relevant experience, and geographic location. Insurance Support – (Somerset)

Our board certified surgeons, each subspecialty trained, offer the best care in sports medicine, arthroscopic surgery, joint replacement, traumatology, hand and upper extremity surgery, foot and ankle surgery and surgery of the spine.

We have a full-time opportunity for you to join our Somerset team as Insurance Support in our Somerset Office.  

Our Insurance department is in search of Insurance Support. Our ideal candidate has at least one year (1) of experience working in accounts receivables, with remittance processing, or in a similar orthopaedic medical billing/ customer service role.

  • Sorting of outgoing mail
  • Scanning of travels, insurance documentation (EOBs) and miscellaneous insurance daily
  • Provide support to Insurance team and organizing documents
  • Run worker’s compensation daily reports, retrieve Qnotes, fax to adjusters and nurse case managers, note chart, and also scanning into charts
  • Process no-fault DME APTP forms as requested and then fax over to insurance companies, in addition to scanning them into the system, recording the decisions from insurance companies
  • Run no-fault daily reports, check the system to see who needs precertification, process the APTP forms, fax over to insurance company, scan into system, record decision from insurance company into system
  • Accept payments and process billing statements
  • Keep track of payment deposits from patients and insurance reconciling details
  • Prepare payment batches
  • Assess explanation of benefits (EOBs) from insurance companies and distribute to corresponding insurance representative
  • Keep accurate billing records and report any discrepancies to accounting 
  • Post incoming CR of checks/ credit cards/ EFTs and adjustments on a daily basis
  • Compute total bill showing amounts to be paid by insurance company and total due by patient
  • Prove daily payments and reconcile batch at the end of the day
  • Return checks for duplicate payment by insurance and patient
  • Review account for accuracy and identify accounts with errors other outstanding dates of service discrepancies, and second insurance issues
  • Further issues requiring more attention will be brought to the corresponding representative for resolution at the time of account review
  • Reconciling accounts out of balance, moving patient credits as needed, analyzing when insurance credits or over adjustments are on the accounts
  • Moving over the Payerpath remittances daily to ensure ease of posting for primary payment poster and insurance reps
  • Assisting with no-fault precertification submissions
  • Comply with all Federal and State laws governing HIPAA and collections
  • Follow-up on self-pay accounts, prepare accounts for collections when needed
  • Assist with community of care requests
  • Coverage at the switchboard (when requested, after cross-trained)
  • Perform other job related responsibilities as requested

Medical Insurance Representative – (Somerset)

Our board certified surgeons each with sub specialty training offer the best care in sports medicine, arthroscopic surgery, joint replacement, traumatology, hand and upper extremity surgery, foot and ankle surgery and surgery of the spine.

We have an exciting full time opportunity to join our team in our Somerset office as an experienced Insurance Representative.

To qualify, you must have a High School Diploma or equivalent. Candidates must also have a minimum of two (2) to three (3) years of previous experience with billing and coding. Orthopedic experience is strongly preferred. Proficient medical terminology is required, orthopedic and or physical/occupational therapy a plus. Bilingual is a plus.

We are looking for a dynamic individual with experience in billing, coding and accounts receivable. This position will be responsible for posting payments to patient accounts and handling the billing & collections for our orthopedic surgeons. Within this position, the successful candidate will be expected to review accounts for proper charge posting, manage claim edits, correct claims adjustments, post payments, handle patient questions/concerns in regards to their accounts and work the physician A/R.

Overview of Position Responsibilities:

  • Strong working knowledge of computer systems, with experience in windows-based systems and Microsoft Office
  • Experience with medical practice billing software required
  • Knowledge of CPT and ICD-10 coding and electronic billing required
  • Ability to Multitask and Detail oriented
  • Ability to answer phone calls and address patient account inquiries, calculate adjustments, insurance percentages for coinsurance, etc.
  • Prioritize delinquent accounts for review
  • Understand insurance benefits coverage as well as verify insurance eligibility and coverage for patients when applicable
  • Knowledge of Stop Losses
  • Establish financial agreements and payment plans when required
  • Schedule patient appointments as needed
  • Allscripts PRO PM/ Phoenix EMR system experience (a plus)

Workers Comp Representative - (Somerset)

Summary:

As a Workers’ Compensation Representative at UOA, you will play a crucial role in managing and processing workers’ compensation claims. You will work closely with injured patients, employers, and medical providers to ensure timely and accurate claim resolution.

Responsibilities:

  • Review and investigate insurance information and eligibility.
  • Patient registration.
  • Maintain patients account updated.
  • Account receivable and collections.
  • Scheduling and coordination of initial evaluation for new patients and independent medical examinations.
  • Organizing medical records, imaging, documents and securing payments for examinations.
  • Heavy volume of communication with adjusters, case managers, attorneys and patients.

Qualifications:

  • Excellent communication and interpersonal skills.
  • Ability to multitask and prioritize tasks effectively.
  • Strong attention to detail.
  • Proficiency in Microsoft Office Suite.
